# Event registration forms

A sign-up form that closes itself when the seats run out. Format and track selection, a consent block, a QR code for the poster and a feedback form built with the same tool the morning after.

Scenarios

## Three forms around one event

Sign-up, an age gate and the feedback afterwards. Each one sits in the catalog as a ready-made template with its questions already written.

- ### Attendee sign-up

Nine questions: name, email for updates, phone, company and role, city, attendance format as cards and the tracks they care about as a multi-select. It ends on a consent block and a captcha so bots cannot flood the list.

  [Event registration](https://askyo.ru/en/templates)

- ### An 18+ event

The same contact collection with an age check: from the date of birth the graph sends an underage visitor to their own final screen, instead of printing a refusal in small type after the form is sent.

  [Sign-up for an 18+ event](https://askyo.ru/en/templates)

- ### Feedback afterwards

A rating for the organisation and the speakers, what worked, what to change and whether they would come again. Handed out as a QR code at the exit while the impression is fresh, not as an email three days later.

Inside

## What closes the form besides the fields

### A cap on the number of seats

Set a maximum number of responses and sign-up stops itself on that number. It works on the free plan: nobody has to count registrations by hand and close the form at midnight.

### A window for accepting entries

Opening and closing dates live in the publication settings. The form opens at the announced hour and closes on time without you. Scheduling comes with the Pro plan; closing a form by hand is one click on any plan.

### A QR code to print

The link turns into a QR code right away: print it on the poster, drop it on a slide or onto a badge. No separate generator service, the image downloads from the publication dialog.

### Captcha and one pass per device

A captcha block drops into the form like any other question, and single-response mode stops the same person signing up ten times. For a free event with limited seats that is the whole game.

### Entries in Telegram and your CRM

Every registration goes to the organisers’ chat, to a webhook or into a CRM. Nobody has to export an attendee list by hand the night before. Available from the Pro plan.

### The form on the event page itself

The widget embeds into the event landing page in one script tag and runs inside a Shadow DOM, so your layout cannot break it. People sign up without leaving for someone else’s domain.

## How to build an event registration form

From a template to a QR code on the poster, in four steps.

1. ### Start from the sign-up template

Open the «Events» category in the catalog and take «Event registration». Contact fields, formats and tracks are already there; usually only the track names need rewriting.

2. ### Cap the seats

In the publication settings set the maximum number of responses to match your capacity and, if you need it, the opening and closing dates. The form will shut itself without waiting for your attention.

3. ### Share the link and the QR code

Put the link in the announcement and the newsletter, the QR code on the poster and the slide. The standalone form page works on a phone and sign-up takes under a minute.

4. ### Collect feedback at the exit

After the event publish the second form, «Event feedback», and show its QR code in the room. Ratings arrive the same day instead of a week later.

## How online event registration works

Online event registration replaces a paper list and a stream of direct messages with one sign-up form. An attendee opens the link from the announcement, fills in five to ten fields and sees a confirmation screen. The organiser gets a table of attendees with seats counted, formats marked and consent collected.

What sets it apart from a general [questionnaire](https://askyo.ru/en/questionnaire) is a limit and a deadline. There are exactly as many seats as chairs, and sign-ups stop on the day or earlier. So the two settings that matter most are the maximum number of responses and the opening and closing dates.

Askyo does not send emails to attendees. The confirmation is the final screen of the form, so put the date, the address and what to bring right there. Reminder emails go out from your own mailing tool or CRM, which receives registrations through a webhook on the Pro plan.

| [Consent](https://askyo.ru/en/question-types/consent) | Always | Linking to your own privacy policy |

All of these come ready in the [event registration template](https://askyo.ru/en/templates/event-registration). For an age-restricted event the [18+ sign-up template](https://askyo.ru/en/templates/event-18plus) sends an underage visitor to a separate final screen before they fill in anything else.

## Conferences, webinars, workshops

A conference needs a seat cap, track selection and a captcha when entry is free; embed the form on the event page with the [website widget](https://askyo.ru/en/website-survey) so people sign up next to the agenda. A webinar needs three fields at most: name, a contact and consent. A workshop with several time slots works more like a booking, and the [service booking template](https://askyo.ru/en/templates/booking) already asks for date, time and group size. For events for children, collect contacts and consent from the parent or guardian.

## On the day and after

- Export the attendee list to CSV the night before and print it for the front desk.
- Put the form’s QR code at the entrance for walk-ins while seats remain.
- Let the room pick the best talk with an [online vote](https://askyo.ru/en/voting) limited to one vote per device.
- Show the QR code of the [event feedback template](https://askyo.ru/en/templates/event-feedback) at the exit, while the impressions are fresh.

Frequently asked questions

## Event registration: common questions

How do I make an event registration form for free?

Take the «Event registration» template, rewrite the questions for your event and publish. The free plan covers 150 registrations in total and asks for no card. The seat cap works on the free plan too.

Can I limit the number of attendees?

Yes, the publication settings hold a maximum response count. Once the counter reaches it the form stops accepting entries and shows a message saying the seats are gone.

How do I close registration on a given date?

The publication settings include an acceptance window: an opening date and a closing date. Before the first, nobody sees the form; after the second, it closes itself. Scheduling comes with the Pro plan, while closing a form manually in one click is available on every plan.

Is there a QR code for the form?

Yes. The QR code is generated from the link in the same publication dialog and downloads as an image. Print it on a poster or a badge, or put it on the closing slide to collect feedback.

How do I keep bots and duplicate entries out?

Drop a captcha block into the form and switch on single-response mode, which limits repeat submissions from one device. The captcha block opens on the Pro plan; single-response mode is available to everyone.

Do I need a consent checkbox?

A sign-up form collects a name, an email and a phone number, which are personal data under most privacy laws. The template already puts a consent block before the submit button, and you can point it at your own policy.

## Open sign-ups today

A template, a seat cap and a QR code for the poster take about ten minutes. After that the form runs itself.
